Operations Coordinator   $60,000 USD/year

Description

LOCATION NOTE: This is an in-person position based at our Austin, TX campus.

A well-functioning campus appears calm, organized, and inviting—the result of someone making countless decisions behind the scenes to maintain that environment.

Nova Academy is built to serve students and families who hold their school experience to a higher standard. That standard reaches beyond the classroom. It influences how families receive information, how secure students feel, how seamlessly operations flow, and how efficiently issues are addressed. This position ensures those elements function reliably, day after day.

In this capacity, you hold accountability for all non-academic campus operations. You establish trust with families by delivering clear and timely communication. You protect student safety by managing procedures and responding to incidents. You coordinate facilities, logistics, and daily functions so that staff remain focused on students. You also ensure that technology enhances learning instead of disrupting it.

This is a dynamic, people-centered position suited to someone who thrives on variety, accountability, and service. If you find energy in resolving challenges, supporting a community, and building an environment where students and staff succeed, this role provides substantial ownership and impact.

What you will be doing

  • Cultivating strong connections with parents, students, and staff via proactive, bilingual outreach
  • Overseeing campus safety functions, including entry protocols, health responses, emergency drills, record-keeping, and family notifications
  • Coordinating daily campus logistics such as attendance workflows, transportation planning, facility maintenance, and office operations
  • Facilitating onboarding and orientation for new staff to ensure seamless integration into campus procedures and culture
  • Administering student devices and campus technology as the primary on-site tech contact and Google Administrator

What you will NOT be doing

  • Delivering classroom instruction or providing academic support
  • Mentoring Guides or contributing to curriculum development
  • Functioning in a narrowly scoped or exclusively clerical capacity
  • Working within a static, entirely predictable setting
  • Transferring issues to others rather than seeing them through to completion

Key responsibilities

Ensure Nova Academy functions safely, efficiently, and reliably so that students, staff, and families experience a high-trust, well-organized campus environment every day.

Candidate requirements

  • Bachelor's degree (field of study not specified)
  • Minimum of 1 year of experience in office coordination, facilities support, site operations, or comparable operational functions
  • Proficiency with fundamental technology tasks including device configuration, troubleshooting, and account management
  • Effective written and spoken communication abilities
  • Capacity to handle multiple priorities while maintaining attention to detail
  • Fluency in both spoken Spanish and English for clear, effective communication
  • Legal authorization to work in the United States without requiring visa sponsorship
  • Availability to work on-site in Austin, TX, or readiness to relocate

Nice to have

  • 3+ years of operational management experience
  • Prior experience serving as a Google Administrator
  • Background in event planning and execution
