Admissions Counselor   $40,000 USD/year

Description

Success in this role depends on your ability to establish trust with parents within moments of starting a conversation. This position suits someone who finds energy in outreach, maintains disciplined follow-up, and can articulate an innovative learning model without depending on prepared scripts. If phone-based communication drains you or you prefer work without measurable performance indicators, this role will not align with your strengths.

Nova Academy operates as a virtual, tuition-free public charter school that delivers education through a distinctive model. Students work through core academic content in concentrated time blocks with AI-supported instruction, then dedicate the remainder of their day to project-based learning and enrichment activities that build practical skills. You serve as the primary meaningful contact for families considering this educational path.

Your weekly responsibilities include responding promptly to incoming inquiries, shepherding families through each stage of the admissions pathway, and transitioning them from curiosity to completed enrollment. You will also appear at community events on behalf of Nova Academy to cultivate new interest and strengthen local visibility. During periods of lower enrollment activity, you will support broader school operations while remaining prepared for the next admissions cycle.

If you seek a position where your communication precision, reliability, and accountability directly shape student enrollment outcomes, we are interested in speaking with you.

What you will be doing

  • Reaching out to new inbound inquiries within 24 hours and opening admissions dialogues via phone
  • Describing Nova Academy's virtual structure and enrollment procedures using straightforward, accessible language
  • Maintaining disciplined follow-up to advance families from initial inquiry through application to final enrollment
  • Recording all engagements in a CRM system with precise notes, defined next actions, and current pipeline status
  • Planning and conducting local recruitment events across Texas or Arizona to introduce the school and collect new prospect information

What you will NOT be doing

  • Allowing inbound inquiries to sit unaddressed while you prioritize administrative tasks
  • Relying on fixed scripts or functioning as a high-volume call center operator
  • Participating in events without actively presenting or generating prospective family contacts
  • Devoting most of your hours to back-office duties during periods of active enrollment demand

Key responsibilities

Transform new family interest into qualified, well-informed applicants who finalize enrollment with Nova Academy.

Candidate requirements

  • Located in Texas or Arizona with availability for hybrid work arrangements
  • 1–2 years of customer service experience or another role involving direct customer interaction
  • Background working with children or families (examples include schools, camps, childcare, tutoring, or comparable settings)
  • At ease making regular phone calls and leading families through processes with multiple stages
  • Solid verbal communication abilities with capacity to establish trust rapidly
  • Working knowledge of CRM platforms or digital tools for lead management

Nice to have

  • Background in admissions, enrollment, inside sales, or lead qualification functions
  • Experience organizing or delivering presentations at community events or outreach initiatives
  • Academic coursework or professional experience in communications, education, or a related discipline
