Description

LOCATION NOTE: This is an in-person position based at our Austin, TX campus.

A well-functioning campus feels orderly, peaceful, and inviting—the result of countless daily decisions working together seamlessly.

Nova Academy is designed to serve students and families who hold high expectations for their educational experience. Those expectations reach beyond classroom instruction. They are reflected in the clarity of family communications, the sense of security students experience, the efficiency of daily routines, and the speed at which challenges are addressed. This position ensures those standards are met consistently.

As the holder of this role, you oversee all non-instructional campus operations. You establish credibility with families by delivering clear, timely updates. You protect student safety by maintaining rigorous protocols and managing incident responses. You handle facilities, logistics, and operational systems so that educators can remain focused on teaching. You also ensure that technology functions as a tool for learning, not a source of disruption.

This is a dynamic, face-to-face position suited to someone who thrives on variety, accountability, and contributing to a community. If you are motivated by resolving challenges, enabling others, and shaping an environment where both students and staff succeed, this role provides significant autonomy and purpose.

What you will be doing

  • Cultivating trusted relationships with parents, students, and staff by maintaining proactive, bilingual outreach
  • Overseeing campus security operations, including entry protocols, health-related incidents, emergency drills, record-keeping, and parent communication
  • Coordinating the day-to-day functioning of the campus, including attendance tracking, transportation logistics, facility maintenance, and office management
  • Facilitating onboarding and orientation for newly hired staff to promote seamless adoption of campus procedures and culture
  • Administering student devices and technology infrastructure, acting as the primary on-site technical resource and Google Administrator

What you will NOT be doing

  • Delivering classroom instruction or participating in academic support
  • Providing coaching to Guides or contributing to curriculum design
  • Performing work confined to a rigid, desk-bound administrative function
  • Working within a static, entirely predictable operational setting
  • Escalating issues without taking ownership through to resolution

Key responsibilities

Maintain a safe, efficient, and reliable campus environment where students, staff, and families encounter consistent excellence and operational integrity every day.

Candidate requirements

  • Bachelor's degree (field of study is not specified)
  • Minimum of 1 year of experience in office coordination, facility operations, site management, or comparable operational roles
  • Proficiency with routine technology functions including device configuration, troubleshooting, and user account management
  • Demonstrated ability to communicate effectively in writing and in conversation
  • Capacity to handle multiple concurrent tasks with precision and care
  • Fluency in both spoken Spanish and English
  • Legal authorization to work in the United States without requiring visa sponsorship
  • Availability to work on-site in Austin, TX, or willingness to relocate to the area

Nice to have

  • 3+ years of experience managing operational functions
  • Prior experience in a Google Administrator capacity
  • Background in event planning and execution
