School Operations Coordinator   $60,000 USD/year

Description

LOCATION NOTE: This is an in-person position based at our Austin, TX campus.

A well-run campus feels orderly, inviting, and composed—because someone is coordinating countless operational details to maintain that environment.

Nova Academy is built to support students and families who hold high standards for their educational experience. Those standards reach beyond the classroom. They appear in the clarity of family communications, the sense of security students experience, the efficiency of daily routines, and the speed with which issues are addressed. This position ensures that all of these elements function reliably, day in and day out.

In this capacity, you own the complete non-instructional operations of the campus. You establish credibility with families by delivering clear and timely updates. You protect student safety by managing security protocols and incident procedures. You handle facilities, logistics, and operational systems so that staff remain focused on student support. You also ensure that technology enhances instruction rather than disrupting it.

This is a practical, community-oriented position suited to someone who thrives on variety, accountability, and service. If you are motivated by resolving challenges, strengthening a school community, and building an environment where both students and staff succeed, this role provides substantial autonomy and influence.

What you will be doing

  • Cultivating strong connections with parents, students, and staff using proactive, bilingual outreach
  • Overseeing campus safety systems, including entry protocols, health events, emergency drills, record-keeping, and family notifications
  • Managing daily campus functions including attendance tracking, transportation logistics, facility maintenance, and front-office operations
  • Facilitating onboarding and orientation for new staff members to support seamless integration into campus procedures and culture
  • Administering student devices and campus technology systems, acting as the on-site technology liaison and Google Administrator

What you will NOT be doing

  • Leading classes or delivering academic instruction
  • Mentoring Guides or building curriculum content
  • Functioning in a narrowly scoped or exclusively clerical capacity
  • Working in a slow-paced, entirely routine setting
  • Delegating challenges rather than seeing them through to completion

Key responsibilities

Ensure Nova Academy functions safely, smoothly, and reliably so that students, staff, and families encounter a high-performing, trustworthy campus environment every day.

Candidate requirements

  • Bachelor's degree (field of study not specified)
  • Minimum of 1 year of experience in office coordination, facility operations, site management, or comparable operational positions
  • Proficiency with fundamental technology tasks including device configuration, troubleshooting, and user account management
  • Excellent written and spoken communication abilities
  • Capability to juggle multiple responsibilities with close attention to detail
  • Fluency in both Spanish and English, spoken and written
  • Authorization to work in the United States without requiring visa sponsorship
  • Availability to work on-site in Austin, TX, or readiness to relocate

Nice to have

  • 3+ years of operational management experience
  • Background serving as a Google Administrator
  • Experience coordinating and delivering events
