Family Engagement Coordinator   $40,000 USD/year

Description

Success in this role depends on your ability to establish trust with a parent within moments of beginning a conversation. The position suits candidates who are motivated by outreach work, reliable in their follow-up, and capable of articulating an innovative learning model without depending on scripted responses. Candidates who shy away from phone-based communication or who seek roles without measurable performance standards will find this a poor match.

Nova Academy operates as a virtual, tuition-free public charter school that serves students through a distinctive educational model. Core academics are completed during a concentrated time block with AI-assisted learning support, while the remainder of each day is dedicated to developing practical skills via projects and enrichment activities. Your function will be to serve as the initial meaningful connection for families considering this educational alternative.

Your weekly activities will include responding promptly to new inquiries, shepherding families through admissions procedures, and advancing them from curiosity to completed enrollment. You will also attend local events on behalf of Nova Academy to cultivate new leads and raise community awareness. During periods of reduced enrollment activity, you will support broader school operations while remaining prepared for upcoming intake periods.

If you seek a position where your communication skills, follow-through discipline, and personal accountability directly influence student enrollment outcomes, we are interested in speaking with you.

What you will be doing

  • Reaching out to new inbound leads within a 24-hour window and starting admissions discussions via phone
  • Describing Nova Academy's virtual structure and enrollment procedures using straightforward, accessible language
  • Maintaining regular follow-up to transition families from inquiry through application to final enrollment
  • Recording all engagement in a CRM with precise notes, planned next actions, and updated pipeline status
  • Planning and facilitating local recruitment events in Texas or Arizona to introduce the school and collect new leads

What you will NOT be doing

  • Allowing inbound leads to remain unaddressed while you focus on administrative tasks
  • Relying on rigid scripts or functioning like a high-volume call center operation
  • Participating in events without actively presenting or proactively generating leads
  • Devoting most of your time to back-office duties during periods of active enrollment demand

Key responsibilities

Transform new family interest into qualified, well-informed applicants who successfully complete enrollment at Nova Academy.

Candidate requirements

  • Located in Texas or Arizona with availability to work in a hybrid capacity
  • 1–2 years of experience in customer service or a comparable customer-facing position
  • Background working with children or families (such as schools, camps, childcare, tutoring, or related settings)
  • At ease making regular phone calls and leading families through multi-step procedures
  • Solid verbal communication abilities with the capacity to establish trust rapidly
  • Working knowledge of CRM systems or digital lead management platforms

Nice to have

  • Background in admissions, enrollment, inside sales, or lead qualification functions
  • Experience organizing or leading presentations at community events or outreach initiatives
  • Academic coursework or professional background in communications, education, or a related discipline
