Description

You do not want to “support operations.” You want to own the engine that lets a fast-growing education platform launch new schools without breaking billing, data, or day-one access. If you like turning messy, manual processes into clean systems that run on their own, keep reading. If you want a narrow job where you only follow playbooks, this will frustrate you.

Behind that outcome is a hard operational truth: new schools must be onboarded fast, billed correctly, and reported on consistently, across many systems and many launch timelines.

In this role, you will own end-to-end school onboarding operations (SIS setup, rostering, credentials, testing coordination, platform readiness). You will run billing and accounts receivable using systems like NetSuite and Stripe. You will also build automated data pipelines and weekly leadership reporting by connecting tools like SIS, HubSpot, and financial systems. Your edge is automation: you will use AI and tools like Python, Apps Script, Zapier, or Make to remove recurring manual work.

What you will be doing

  • Run end-to-end onboarding for new schools, including SIS configuration, rostering, credentials, testing setup (MAP/NWEA), and launch readiness
  • Own invoicing and accounts receivable workflows, including payment links, invoice schedules, reconciliation, and outstanding balance tracking
  • Build and maintain automated reporting pipelines that aggregate data from SIS, HubSpot, NetSuite, and other operational sources into weekly leadership reports
  • Design and implement automation workflows using AI and tools like Python, Apps Script, Zapier, or Make to eliminate repetitive operational work
  • Collaborate daily with school contacts, finance, and internal owners to resolve blockers and keep launches, billing, and reporting on track

What you will NOT be doing

  • Rebuilding the same reports by hand every week
  • Acting as a project coordinator without true operational ownership of outcomes
  • Doing operations that only matter internally while someone else manages the real school-facing work
  • Scaling your workload by adding more manual steps instead of automating the process

Key responsibilities

This role exists so new schools can be onboarded, billed, and operated at scale through automated, reliable, repeatable operations and reporting.

Candidate requirements

  • Ability to work full-time remotely with at least 6 hours overlap with US business hours on weekdays
  • Experience managing client, customer, or partner onboarding workflows across multiple steps and systems
  • Experience generating invoices and managing billing and accounts receivable processes
  • Experience building automated reports or data pipelines using spreadsheets, scripts, and/or analytics tools
  • Demonstrated active use of AI tools to automate or accelerate operational work
  • Strong written communication skills for coordinating with external partners and internal teams

Nice to have

  • Experience working with HubSpot, NetSuite, and/or Stripe in an operations, billing, or reporting capacity
  • Experience integrating data across systems (CRM, SIS, billing) to produce operational dashboards
  • Comfort coordinating testing setup workflows (MAP/NWEA) as part of school or program onboarding
