Director of Guest Relations   $200,000 USD/year

Description

You've sat face-to-face with a family and known the truthful answer was no. Giving it meant losing something tangible—a figure, your manager's sign-off, a deal. In this role, delivering that answer is the work.

Alpha operates as a private K–12 school network. Students complete academics in roughly two hours daily and dedicate the remainder to building practical skills; test performance validates the approach. This position is campus-based, in person, full-time, at one of 12 locations: Los Angeles, Santa Barbara, La Jolla, or Malibu, CA; Austin, TX; Atlanta, GA; Boca Raton, FL; Boston, MA; Chicago, IL; Greenwich, CT; Nashville, TN; or Park City, UT. Indicate your preferred market in your application.

Families pay premium tuition, conduct thorough due diligence, and challenge you with substantive questions about academic rigor and expectations within the first ten minutes. The model functions only when enrolled families genuinely align with it. In a small cohort, one misaligned family alters the environment for all.

You will control every aspect of one campus's admissions process. Initial inquiry, alignment discussion, campus visit, shadow day, enrollment decision conversation. You are the single point of contact that family engages from inquiry through the first school day. A typical week may include: responding to all inquiries within four hours, guiding a doubtful parent through the afternoon program structure, facilitating a shadow day, maintaining accurate records in HubSpot, and informing a family their child would thrive better elsewhere. You will manage 20 or more active families at varying stages concurrently. You assess fit independently, and you communicate outcomes directly, face-to-face, using your own language.

The network is expanding, and operational standards continue to develop. Those who establish successful practices in a market author the FAQs, define the fit parameters, and set the benchmarks subsequent campuses adopt—and they become the trusted referral name among affluent families in their region.

This is a campus-based position requiring daily on-site presence. Professionals who excel in this role typically include: admissions and enrollment leaders from selective institutions; high-value consumer sales professionals serving families, such as luxury property agents, private wealth advisors, or premium practice principals; and hospitality or private service executives who have delivered exceptional experiences for discerning clientele. If this describes your background, apply and specify your desired market.

What you will be doing

  • Managing the complete enrollment experience for every prospective family, from initial inquiry to onboarding, conducting genuine needs discovery before presenting solutions.
  • Overseeing 20 or more concurrent active family relationships, responding to all inquiries promptly and reviewing applications on a daily basis.
  • Facilitating campus tours, open houses, information sessions, and shadow days that clearly define who the program serves and who it does not.
  • Determining the admission or decline recommendation and communicating the decision to families personally.
  • Maintaining up-to-date records in HubSpot and the student information system (SIS) following each interaction, leveraging AI tools such as ChatGPT or Claude for preparation and documentation, and providing weekly pipeline updates to leadership.

What you will NOT be doing

  • Pursuing enrollment volume targets. A family who enrolls then withdraws represents a worse outcome than a family declined at the outset.
  • Having your fit assessments overridden to preserve a relationship or meet an enrollment goal.
  • Executing scripted pitches, call campaigns, or price-reduction tactics.
  • Transferring families through multiple coordinators, or awaiting committee approval for standard communications.
  • Conducting superficial facility tours that avoid substantive inquiries.

Key responsibilities

Enroll families who are genuinely aligned with one campus and ensure even declined families experience the process as quality service.

Candidate requirements

  • 3 or more years in a client-facing capacity where an individual or family served as the purchasing decision-maker at $25,000 or more per client, or $2,000 or more monthly. (Direct-to-consumer only; B2B and enterprise sales do not apply.)
  • You have directly managed a client, admissions, or enrollment experience from initial inquiry through final commitment.
  • You have concurrently handled 7 or more client relationships using a CRM, database, or tracking platform.
  • You have advised a prospective client against purchasing, enrolling, or joining due to misalignment.
  • You have incorporated AI tools into client-facing operations.
  • You deliver clear, professional communication in both spoken and written formats with executives, high-net-worth individuals, or other sophisticated clients.
  • You can cultivate a relationship across multiple touchpoints spanning 30 or more days and remain engaged with families not yet prepared to commit.
  • You currently reside in, or will relocate within 60 days to, one of the available campus markets: Los Angeles, Santa Barbara, La Jolla, or Malibu, CA; Austin, TX; Atlanta, GA; Boca Raton, FL; Boston, MA; Chicago, IL; Greenwich, CT; Nashville, TN; or Park City, UT.
  • Prepared to work on-site at your assigned campus each day.
  • Legally authorized to work in the United States without requiring visa sponsorship.

Nice to have

  • Background in admissions or enrollment management at a selective private, independent, or boarding institution.
  • Experience in luxury residential property, private banking, family office services, concierge healthcare, or high-end event coordination, where families were your primary clients.
  • You developed the enrollment workflow or service protocols yourself rather than inheriting established systems.
  • You possess existing relationships with affluent families, preschools, or family advisors in one of the 12 markets.
  • Owner-operator background where you personally sold, delivered, and retained high-value clientele.
