You're here to own the operational engine that powers a fast-growing education platform—enabling new schools to launch with accurate billing, clean data, and instant access. If you thrive on converting chaotic, manual workflows into reliable systems that scale independently, this role is for you. If you prefer narrow, playbook-only work, this position won't be a fit.

Underpinning that success is a critical operational reality: each new school must be onboarded efficiently, invoiced accurately, and tracked consistently across multiple systems and timelines.

In this position, you will take full ownership of school onboarding operations—including SIS configuration, rostering, credential management, testing coordination, and platform launch readiness. You will manage billing and accounts receivable through platforms like NetSuite and Stripe. You will also construct automated data pipelines and deliver weekly leadership reporting by integrating tools such as SIS, HubSpot, and financial systems. Your competitive advantage is automation: leveraging AI and tools like Python, Apps Script, Zapier, or Make to eliminate repetitive manual tasks.

What you will be doing

  • Execute complete onboarding processes for new schools, covering SIS setup, rostering, credential provisioning, testing coordination (MAP/NWEA), and launch verification
  • Manage invoicing and accounts receivable operations, including generating payment links, scheduling invoices, reconciling payments, and monitoring outstanding balances
  • Create and sustain automated reporting pipelines that pull data from SIS, HubSpot, NetSuite, and other operational platforms into consolidated weekly leadership reports
  • Develop and deploy automation workflows using AI alongside tools like Python, Apps Script, Zapier, or Make to remove recurring manual operational tasks
  • Coordinate daily with school stakeholders, finance teams, and internal owners to clear blockers and ensure launches, billing, and reporting remain on schedule

What you will NOT be doing

  • Manually recreating the same reports week after week
  • Serving as a project coordinator without genuine operational ownership of results
  • Managing operations that are purely internal while others handle actual school-facing responsibilities
  • Increasing your workload by layering on more manual steps rather than building automation

Key responsibilities

This role ensures that new schools can be onboarded, invoiced, and operated at scale through automated, dependable, and repeatable operations and reporting systems.

Candidate requirements

  • Ability to work full-time remotely with at least 6 hours overlap with US business hours on weekdays
  • Experience managing client, customer, or partner onboarding workflows across multiple steps and systems
  • Experience generating invoices and managing billing and accounts receivable processes
  • Experience building automated reports or data pipelines using spreadsheets, scripts, and/or analytics tools
  • Demonstrated active use of AI tools to automate or accelerate operational work
  • Strong written communication skills for coordinating with external partners and internal teams

Nice to have

  • Experience working with HubSpot, NetSuite, and/or Stripe in an operations, billing, or reporting capacity
  • Experience integrating data across systems (CRM, SIS, billing) to produce operational dashboards
  • Comfort coordinating testing setup workflows (MAP/NWEA) as part of school or program onboarding
