Description

You are the person who catches the incomplete form, identifies the incorrect date, corrects the file, and ensures the system remains accurate before problems surface. Alpha School is expanding a new model of school network. This expansion generates a significant operational challenge: thousands of student records, enrollment packages, transcript files, medical documentation, attendance changes, and compliance procedures must remain precise as the organization grows. This work is not high-profile. It is critical. Accurate records enable schools to operate smoothly, families to receive proper support, and leadership to avoid administrative bottlenecks.

You will manage the high-volume processes supporting enrollment and student recordkeeping across a multi-site education network. During a standard week, you will examine intake materials, handle records inquiries, maintain student information systems, conduct data audits, address inconsistencies, and assist with registrar operations. As Alpha expands to additional campuses and enrolls more students, your contributions become integral to the operational infrastructure that allows the network to grow without disorder.

What you will be doing

  • Examine enrollment and intake materials for accuracy, completeness, and processing readiness
  • Handle student records, transcript requests, medical documentation, enrollment verification files, and records inquiries
  • Input, modify, audit, and fix student information in SIS platforms, databases, CRMs, or comparable systems
  • Monitor outstanding requirements and advance enrollment documentation through internal processes
  • Assist registrar functions, including attendance monitoring, testing coordination, document management, and administrative initiatives

What you will NOT be doing

  • Developing enrollment strategy, registrar policies, or campus expansion initiatives
  • Acting as the primary point of contact for compliance, accreditation, or regulatory matters
  • Performing sales functions, converting prospective families, or owning family engagement
  • Delivering presentations to large audiences or serving as a public-facing representative of the school
  • Leading a team or assigning the granular records work to direct reports

Key responsibilities

This role exists so Alpha School can expand enrollment across a growing network of campuses with student records that are accurate, complete, compliant, and prepared for audit.

Candidate requirements

  • Experience managing high-volume administrative workflows involving documentation, records, or data
  • Experience maintaining accurate information in databases, CRMs, SIS platforms, or similar systems
  • Demonstrated ability to manage multiple concurrent workflows while maintaining strong accuracy
  • Strong written communication, organization, prioritization, and follow-through
  • Ability to learn new systems and processes quickly
  • Comfort working independently in a fully remote role
  • Authorized to work in the United States or Canada

Nice to have

  • Experience in student records, school registrar operations, admissions operations, or education administration
  • Experience in healthcare, legal, insurance, or other compliance-heavy administrative environments
  • Associate's or bachelor's degree in any field
