Records Coordinator   $75,000 USD/year

Description

You are the person who catches the missing signature, identifies the incorrect date, corrects the file, and ensures the system stays accurate before issues arise. If you find satisfaction in executing complex administrative operations with near-perfect accuracy, continue reading. If you require strategic presentations, public-facing engagement, or frequent interpersonal interaction to stay motivated, this position is not the right match.

Alpha School is expanding a new model of school network. This expansion generates a challenging operational demand: thousands of student records, enrollment packages, transcripts, medical documents, attendance logs, and compliance procedures must remain precise as the network grows. This work lacks glamour. It is critical. Accurate records enable schools to function, families to receive support, and leaders to avoid administrative burden.

You will manage the high-volume processes supporting enrollment and student records throughout a multi-campus education system. During a standard week, you will examine intake paperwork, handle records inquiries, maintain student information systems, validate data, address inconsistencies, and assist with registrar operations. As Alpha expands to additional campuses and students, your contributions form part of the operational foundation that allows the network to scale without disruption.

If you are meticulous, precise, self-motivated, and motivated by converting large volumes of information into accurate, compliant records, we would like to speak with you.

What you will be doing

  • Examine enrollment and intake paperwork for completeness, precision, and processing readiness
  • Handle student records, transcripts, medical documentation, enrollment verification materials, and records inquiries
  • Input, maintain, validate, and correct student data within SIS platforms, databases, CRMs, or comparable systems
  • Monitor outstanding requirements and advance enrollment documentation through internal processes
  • Assist registrar functions, including attendance monitoring, testing coordination, file organization, and administrative initiatives

What you will NOT be doing

  • Developing enrollment strategy, registrar policies, or school expansion initiatives
  • Acting as the primary escalation contact for compliance, accreditation, or regulatory matters
  • Performing sales functions, closing prospective families, or managing family relationships
  • Delivering presentations to large audiences or representing the school in public-facing capacities
  • Supervising a team or assigning the detailed records tasks to others

Key responsibilities

This role exists so Alpha School can expand enrollment throughout a growing school network with precise, complete, compliant, and audit-ready student records.

Candidate requirements

  • Experience handling high-volume administrative processes involving documentation, records, or data
  • Experience preserving accurate information within databases, CRMs, SIS platforms, or similar systems
  • Proven ability to handle multiple concurrent processes while sustaining high accuracy
  • Strong written communication, organization, prioritization, and execution
  • Ability to master new systems and procedures quickly
  • Comfort operating independently in a fully remote position
  • Authorized to work in the United States or Canada

Nice to have

  • Experience with student records, school registrar functions, admissions processes, or education administration
  • Experience in healthcare, legal, insurance, or other compliance-intensive administrative settings
  • Associate's or bachelor's degree in any field
