Description

A family arrives at an Arizona private school built around a two-hour academic day. Their questions are real, and their doubts are visible. Converting inquiry into enrollment here means answering the question beneath the question—clearly, quickly, and consistently within 24 hours. This role treats admissions as conversion, not administration.

Alpha School operates a K-12 private campus in Scottsdale, structured around mastery-based learning, AI-powered software, and a two-hour core academic schedule. The remainder of each day is devoted to applied projects and practical life skills. Families require explanation from a human, not printed material. You serve as their sole contact from initial outreach through enrollment day. A parent sends a late-night email asking how writing instruction works for a third grader—you reply before morning. You coordinate the shadow visit, lead the campus tour, address concerns about socialization, and maintain updated records so nothing falls through. Roughly one-third of your week is inbox management, one-quarter is events and shadow days, and the balance is in-person meetings with parents.

Your scope expands alongside campus growth. Initially, you execute an established enrollment funnel: respond, schedule, host, document. As cohorts reach capacity, you evolve into the architect of the family experience—identifying which questions warrant stronger answers and where attrition occurs.

Because cohorts are capped, every enrolled family must be the right fit, and those families will refer the next three. If you measure success in enrolled students rather than processed tickets, apply.

What you will be doing

  • Responding to each prospective family inquiry within 24 hours with writing that is precise, clear, and directly addresses their question
  • Conducting meetings with parents to explain the admissions process and two-hour learning structure, addressing concerns about rigor, social development, and accreditation
  • Coordinating student shadow days and campus events from start to finish: managing RSVPs, building schedules, overseeing day-of execution, and following up with attendees
  • Maintaining complete and current applicant records in the CRM and student information system so decisions are never delayed by incomplete data
  • Tracking each family's position in the enrollment funnel and identifying those at risk of disengagement before contact stops

What you will NOT be doing

  • Treating transcript processing, form filing, and document management as the core function. Registrar tasks are secondary; enrolled cohorts are the goal
  • Cold outreach to purchased contact lists. Families initiate contact with existing interest
  • Following scripts or escalating routine parent questions to senior staff
  • Providing instruction, tutoring, or student supervision after enrollment
  • Rendering final admissions decisions or establishing enrollment policy. Your role is to bring families to the decision point

Key responsibilities

Convert qualified prospective families into enrolled students to fill each student cohort.

Candidate requirements

  • At least 2 years in admissions, customer service, or another family- or customer-facing operations role
  • At least 1 year in a role requiring regular written communication with families or customers by email, chat, or letter, plus one writing sample you can share
  • At least 1 year using a CRM, student information system (SIS), or comparable database to track and update records while running several tasks at once
  • Available to work on site at the Scottsdale, Arizona campus, or willing to relocate there
  • Authorized to work in the United States

Nice to have

  • Bachelor's degree
  • Classroom teaching experience, or a background in school admissions or enrollment management
  • Customer success, client onboarding, or account management at an education or mission-driven organization
  • Hospitality background such as front desk, events, or concierge work, where high message volume and a brand standard were both non-negotiable
  • Comfort defending an unconventional education model to a high-expectation parent paying private-school tuition
  • Existing roots in the Scottsdale or greater Phoenix community
