A Scottsdale school built around a two-hour academic day attracts parents who arrive with questions. Converting that curiosity into enrollment means responding to the real concern behind every inquiry, consistently within 24 hours. This role treats admissions as a sales function, not administrative processing.

Alpha School operates a private K-12 campus structured around mastery-based progression and AI-powered learning software, delivering core academics in two hours and dedicating the remainder of the day to applied projects and life skills. Families require direct explanation from a person, not printed materials. You serve as their exclusive contact from initial inquiry through enrollment. A parent sends a late-night email asking how writing instruction works for a third grader; your reply arrives before they finish breakfast. You arrange the shadow day, facilitate the campus tour, address concerns about socialization, and maintain the file so no detail is overlooked. Roughly one-third of your week involves email correspondence, one-quarter revolves around events and shadow visits, and the remainder is spent in face-to-face meetings with parents.

Your scope expands alongside the Scottsdale campus. Initially, you operate within an established funnel: respond, schedule, host, document. Once cohorts reach capacity, you become the authority on how the family journey should function at this school. You identify which questions need stronger answers. You determine where families disengage, and what drives that disengagement.

Because cohorts have enrollment caps, every family you bring in must be the right fit, and those families will refer the next three. If you prefer your impact measured in enrolled students rather than resolved tickets, apply.

What you will be doing

  • Responding to every inquiry from prospective families within 24 hours, using language that is precise, clear, and directly answers their question
  • Conducting meetings with parents to explain the admissions process and the two-hour learning structure, addressing concerns related to academic standards, social development, and accreditation
  • Managing student shadow days and campus events from start to finish: confirmations, scheduling, on-site coordination, and post-event outreach to all attendees
  • Maintaining complete and current records for every applicant in the CRM (customer relationship management system) and student information system, ensuring decisions are never delayed by incomplete information
  • Tracking the status of each family in the admissions funnel, and identifying those showing signs of disengagement before communication stops

What you will NOT be doing

  • Handling transcript processing, forms, and document filing as your primary function. Registrar tasks are secondary; enrollment is the priority
  • Making outbound cold calls to prospects from purchased contact lists. Families reach out to you with established interest
  • Following a rigid script, or referring standard parent inquiries to a supervisor
  • Providing instruction, tutoring, or student supervision after enrollment is complete
  • Determining final admissions outcomes or establishing enrollment policies. Your role is to guide families to the decision stage

Key responsibilities

Fill each student cohort by converting qualified prospective families into enrolled students.

Candidate requirements

  • At least 2 years in admissions, customer service, or another family- or customer-facing operations role
  • At least 1 year in a role requiring regular written communication with families or customers by email, chat, or letter, plus one writing sample you can share
  • At least 1 year using a CRM, student information system (SIS), or comparable database to track and update records while running several tasks at once
  • Available to work on site at the Scottsdale, Arizona campus, or willing to relocate there
  • Authorized to work in the United States

Nice to have

  • Bachelor's degree
  • Classroom teaching experience, or a background in school admissions or enrollment management
  • Customer success, client onboarding, or account management at an education or mission-driven organization
  • Hospitality background such as front desk, events, or concierge work, where high message volume and a brand standard were both non-negotiable
  • Comfort defending an unconventional education model to a high-expectation parent paying private-school tuition
  • Existing roots in the Scottsdale or greater Phoenix community
