Enrollment Specialist   $40,000 USD/year

Description

Success in this role begins with your ability to establish trust with a parent within the opening moments of a phone call. This position suits individuals who find energy in outreach activities, maintain disciplined follow-up habits, and can articulate a non-traditional learning model without depending on scripted language. If phone-based communication feels uncomfortable or you prefer work without measurable performance indicators, this opportunity will not align with your strengths.

Novatio School operates as a virtual, tuition-free public charter school offering students an alternative educational framework. Core academic work is completed during a concentrated time block supported by AI-driven learning tools, allowing students to dedicate the remainder of their day to building practical skills through project-based work and enrichment activities. You will serve as the first substantive contact point for families considering this educational path.

Your weekly responsibilities include responding promptly to new family inquiries, shepherding families through each stage of the admissions journey, and transitioning them from curiosity to completed enrollment. You will also attend local community events on behalf of Novatio School to cultivate new leads and raise visibility within your region. During slower enrollment periods, you will support broader school operations while remaining prepared for upcoming admissions cycles.

If you seek a position where your communication ability, follow-through discipline, and personal accountability directly influence student enrollment outcomes, we encourage you to apply.

What you will be doing

  • Reaching out to newly submitted inbound leads within a 24-hour window and beginning admissions discussions by phone
  • Articulating Novatio School's virtual learning model and enrollment procedures using straightforward, accessible language
  • Maintaining disciplined follow-up routines to advance families from initial inquiry through application completion to final enrollment
  • Recording all family interactions in a CRM system with precise notes, defined next actions, and current pipeline status
  • Planning and facilitating local recruitment events across Texas or Arizona to introduce the school and secure new prospective family contacts

What you will NOT be doing

  • Allowing inbound inquiries to remain unaddressed while prioritizing administrative tasks
  • Relying on rigid call scripts or functioning within a high-volume call center framework
  • Participating in community events without actively presenting information or capturing leads
  • Devoting most of your time to back-office responsibilities during periods of active enrollment demand

Key responsibilities

Transform initial family interest into qualified, well-informed applicants who successfully complete enrollment at Novatio School.

Candidate requirements

  • Located in Texas or Arizona with availability for hybrid work arrangements
  • 1–2 years of experience in customer service or other roles involving direct customer interaction
  • Prior experience working with children or families in settings such as schools, camps, childcare, tutoring, or comparable environments
  • Confidence in making regular phone calls and supporting families through processes with multiple steps
  • Effective verbal communication abilities with a capacity to quickly establish trust
  • Working knowledge of CRM platforms or digital systems for tracking leads

Nice to have

  • Background in admissions, enrollment coordination, inside sales, or lead qualification functions
  • Experience organizing or delivering presentations at community events or outreach initiatives
  • Academic coursework or professional background in communications, education, or a related discipline
