Enrollment Specialist   $40,000 USD/year

Description

Success in this role depends on your ability to establish trust with parents within moments of starting a conversation. This position suits someone who thrives on outreach, maintains disciplined follow-up, and can articulate an innovative learning model without depending on scripted language. Individuals who shy away from phone-based work or prefer environments without transparent performance tracking will find this role unsuitable.

Nova Academy operates as a tuition-free virtual public charter school, delivering education through a distinctive framework. Core academic content is completed during concentrated time blocks via AI-enhanced learning platforms, allowing students to dedicate the remainder of their day to skill-building through hands-on projects and enrichment activities. You will serve as the primary connection point for families considering this educational alternative.

Your weekly responsibilities include rapid response to incoming inquiries, shepherding families through admissions procedures, and advancing them from curiosity to confirmed enrollment. You will also attend community events on behalf of Nova Academy to cultivate new prospects and strengthen local visibility. During periods of reduced enrollment activity, you will support broader school functions while maintaining readiness for subsequent intake periods.

If you seek a position where your communication skills, reliability, and accountability translate directly into enrollment outcomes, we are interested in speaking with you.

What you will be doing

  • Reaching out to incoming leads within a 24-hour window and launching admissions dialogues via telephone
  • Describing Nova Academy's virtual framework and enrollment procedures using straightforward, accessible terminology
  • Maintaining systematic follow-up to advance families from initial inquiry through application to final enrollment
  • Recording all touchpoints in a CRM platform with precise notes, planned actions, and pipeline status
  • Planning and facilitating recruitment events in Texas or Arizona to introduce the school and collect prospective family information

What you will NOT be doing

  • Allowing incoming prospects to remain uncontacted while prioritizing administrative tasks
  • Adhering to inflexible scripts or functioning like a high-throughput call center
  • Participating in events without actively presenting or proactively generating new leads
  • Dedicating the bulk of your time to back-office responsibilities during active enrollment periods

Key responsibilities

Transform emerging family interest into qualified, well-informed applicants who successfully enroll at Nova Academy.

Candidate requirements

  • Located in Texas or Arizona with availability for hybrid work arrangements
  • 1–2 years of customer service or comparable customer-facing experience
  • Background working with children or families (educational settings, camps, childcare, tutoring, or equivalent)
  • Confident conducting high-frequency phone outreach and navigating families through multi-stage procedures
  • Excellent verbal communication abilities with capacity to quickly establish credibility and rapport
  • Working knowledge of CRM platforms or digital lead management systems

Nice to have

  • Background in admissions, enrollment, inside sales, or lead qualification functions
  • Experience organizing or delivering presentations at community events or outreach initiatives
  • Academic coursework or professional background in communications, education, or a related discipline
