Description

Your ability to establish trust with a parent during the opening moments of a call will determine your success in this role. This position suits individuals who thrive on outreach activities, maintain disciplined follow-up routines, and can articulate an innovative learning model without depending on scripted language. Nova Academy operates as a virtual, tuition-free public charter school that serves students through a distinctive educational framework. Students engage with core academic content during concentrated time blocks supported by AI technology, then dedicate the remainder of their day to cultivating practical skills via project-based work and enrichment activities. Your function is to serve as the primary meaningful contact for families considering this educational alternative.

Throughout each week, you will respond promptly to incoming inquiries, shepherd families through admissions procedures, and advance them from curiosity to completed enrollment. You will also serve as Nova Academy's representative at community events to cultivate new prospects and raise awareness within your region. During periods when enrollment activity decreases, you will support broader school operations while remaining prepared for subsequent intake periods.

What you will be doing

  • Reaching out to newly received inbound leads within a 24-hour window and opening admissions discussions via telephone
  • Describing Nova Academy's virtual educational model and enrollment procedures using straightforward, accessible language
  • Maintaining systematic follow-up to advance families from initial inquiry through application completion to final enrollment
  • Recording all engagement activities in a CRM system with precise notes, identified next actions, and current pipeline status
  • Planning and facilitating local recruitment gatherings in Texas or Arizona to showcase the school and generate new prospective families

What you will NOT be doing

  • Allowing incoming leads to remain uncontacted while focusing on administrative tasks
  • Relying on inflexible scripts or functioning as though in a high-volume call center environment
  • Participating in events as an observer rather than actively presenting or capturing leads
  • Devoting most of your time to back-office responsibilities during periods of active enrollment interest

Key responsibilities

Transform new family inquiries into qualified, well-informed applicants who successfully complete enrollment at Nova Academy.

Candidate requirements

  • Located in Texas or Arizona with availability for hybrid work arrangements
  • 1–2 years of professional experience in customer service or another role involving direct customer interaction
  • Background working with children or families (including schools, camps, childcare settings, tutoring, or comparable environments)
  • Comfortable initiating regular phone outreach and guiding families through processes involving multiple steps
  • Demonstrated verbal communication abilities with capacity to establish trust rapidly
  • Working knowledge of CRM platforms or digital tools for lead tracking

Nice to have

  • Professional experience in admissions, enrollment coordination, inside sales, or lead qualification functions
  • Background organizing or delivering presentations at community events or outreach initiatives
  • Academic coursework or professional background in communications, education, or a related discipline
