School Operations Coordinator   $60,000 USD/year

Description

LOCATION NOTE: This is an in-person position based at our Austin, TX campus.

A well-run campus feels orderly, inviting, and calm—because someone is consistently making countless behind-the-scenes decisions to maintain that environment.

Nova Academy is designed for students and families who demand excellence beyond the classroom. That expectation reaches into every aspect of the school experience: the clarity of family communication, the sense of safety students experience, the efficiency of daily routines, and the speed with which issues are addressed. This position ensures all of those elements function seamlessly, day in and day out.

In this position, you oversee the complete non-academic operations of the campus. You earn family trust by delivering clear, prompt communication. You protect student safety by managing security protocols and incident procedures. You handle facilities, logistics, and operational systems so teachers and staff remain focused on students. You also ensure that technology enhances learning instead of disrupting it.

This is a practical, community-facing role suited for someone who values variety, accountability, and service. If you find energy in resolving challenges, supporting a school community, and building an environment where both students and staff succeed, this position provides substantial ownership and real impact.

What you will be doing

  • Cultivating positive relationships with parents, students, and staff using proactive, bilingual outreach and communication
  • Directing campus safety functions, including entry protocols, health-related incidents, emergency drills, record-keeping, and family notifications
  • Supervising day-to-day campus functions including attendance tracking, transportation logistics, facility maintenance coordination, and general office operations
  • Assisting with new staff onboarding and orientation to ensure seamless adoption of campus procedures and culture
  • Administering student devices and campus technology systems, acting as the primary on-site technology contact and Google Administrator

What you will NOT be doing

  • Delivering classroom instruction or providing academic tutoring
  • Mentoring teaching staff or creating educational content
  • Performing a rigidly defined or exclusively clerical function
  • Working within a static, highly routine setting
  • Delegating challenges to others rather than resolving them yourself

Key responsibilities

Maintain Nova Academy as a safe, efficient, and reliable campus so that students, staff, and families benefit from a high-functioning, trustworthy school environment every day.

Candidate requirements

  • Bachelor's degree (field of study not specified)
  • A minimum of 1 year of experience in office coordination, facilities management, site operations, or comparable operational positions
  • Proficiency with routine technology functions including device configuration, basic troubleshooting, and user account management
  • Excellent written and spoken communication abilities
  • Capacity to handle concurrent responsibilities with strong attention to detail
  • Fluency in both spoken Spanish and English
  • Legal authorization to work in the United States without requiring visa sponsorship
  • Willingness to work on-site in Austin, TX, or readiness to relocate

Nice to have

  • 3+ years of experience managing operational functions
  • Prior experience functioning as a Google Administrator
  • Background in event coordination and execution
